Working With Grades in MS Excel

The Sakai Gradebook is a tool that allows instructors to securely and privately record and distribute course grades.

Fortunately if you have a copy of MS Excel (or the free Open Office) you can export the grades, create a new column with the adjusted marks, and import it back into the Sakai Gradebook.

[edit] Dropping the Lowest Item

The a good approach is to create a new column and apply a formula that will SUM all of the items and subtract the MIN of those items. The best approach is to confirm that the student completed all of the items thus accounting for the distinction between a null/exemption value and a score of zero.

In the following example:

The formula in column H2 (Dick's mark) is:

=IF(COUNT(B2,C2,D2,E2,F2,G2)=6,SUM(B2,C2,D2,E2,F2,G2)-MIN(B2,C2,D2,E2,F2,G2),SUM(B2,C2,D2,E2,F2,G2))

In prose instead of programming that is: If the total items recorded equals 6 then add them together and subtract the minimum, otherwise just add them together.

The formula can then be extended downwards to the other students.

[edit] Static cell references

Remember that when you extend a formula to another cell it infers what the cell references should be changed to. To keep a cell reference static place a $ character in front of the row and/or column should not change. For example, if the formula should always refer to to cell A1 them enter it as $A$1 - if it need only be column A then refer to it as $A1 .
